# Automating Startup Ops Without Engineers: Cowork, n8n, Zapier Agents, Lindy

> Four ways to automate startup ops without an engineer: Claude Cowork, n8n, Zapier Agents, and Lindy compared, with a worked example each and the approval step.

You can automate most recurring startup ops without an engineer using one of four approaches: Claude Cowork for work that lives in files and documents, n8n for multi-step workflows you want to see as a diagram, Zapier Agents for actions across the apps you already pay for, and Lindy for standing routines inside Slack. Pick by where the work lives.

Most startup ops work is the same six things on repeat: an inbox to triage, a report to assemble, a CRM to keep honest, a customer to follow up with, a document to draft from other documents, and a number to check every Monday. You do not need an engineer to automate any of them in 2026. You need to pick the right kind of tool for where the work lives, and to decide, per task, where a human says yes before something goes out. This guide compares four approaches and gives a worked example for each. The pricing column is deliberately vague; each tool page carries the current plans. The point of the table is the "work lives in" row. That is what decides.

## The human-in-the-loop rule

Before the examples, the one rule that applies to all four: **put the approval at the action that cannot be undone, not at the start of the run.** Reading, summarizing, drafting, and classifying are cheap to get wrong. Sending, paying, deleting, and updating a record in front of a customer are not. Start with every irreversible step gated; after a few dozen runs you approved without editing, loosen that one gate, never all of them at once.

## Claude Cowork: work that lives in documents

[Cowork](/tools/claude-cowork) is the choice when the raw material is files: the export from your billing tool, last month's board deck, a folder of customer call notes. You point it at a folder, describe the outcome, and it produces finished work, with connectors and plugins extending it into apps. Anthropic's help center describes three approval modes; the safety guidance is to switch to manual approval when a task touches sensitive files or accounts, or when mistakes would be hard to undo, like sending messages or making purchases. Scheduled tasks run in the cloud, so a weekly job does not need your laptop open.

**Worked example: the Monday investor update draft.** Create a folder called `investor-updates` containing a `metrics.csv` your finance tool exports, last month's update, and a short `INSTRUCTIONS.md` with your format. Schedule a Cowork task for Monday 7am:

The approval is structural: the task writes a file, and you send the email. ## n8n: workflows you want to see

[n8n](/tools/n8n) is a canvas: each step is a node, and the data flowing between them is visible when a run fails. It is the most technical option here, and also the most debuggable, because nothing is hidden. Run the open-source Community Edition on your own server or use n8n Cloud. Its AI Agent node lets a model decide which tools to call, and its app nodes (Gmail, Slack, and others) include a **Send and Wait for Approval** operation: send a message, then pause the workflow until the recipient clicks approve (or, if you choose, disapprove). For anything more complex, the Wait node can pause on a webhook or a form submission.

**Worked example: inbound lead triage with a gate.** Trigger on a new form submission. An AI Agent node enriches the lead from the company domain and drafts a reply. A Gmail node runs Send and Wait for Approval to you, containing the draft and the enrichment. On approve, the workflow sends the reply and creates the CRM record; on disapprove, it drops the lead into a "review manually" sheet. The approval sits exactly where the email would leave the building.

## Zapier Agents: actions across the apps you already use

[Zapier Agents](/tools/zapier-agents) fit when the work is reacting to events in the SaaS you already pay for. You describe what should trigger the agent, what it should do, and which apps it should use; you add actions as its tools and knowledge sources for reference data; you test it on the Configure screen; then you publish. Per Zapier's help center, triggers can be on demand, on a schedule, from a Zap, or from an app event such as a new email or a new spreadsheet row. Usage is measured in activities (each trigger, action, knowledge lookup, or web search), which are separate from Zap task usage; the free tier has a monthly activity cap and tests count against it there.

**Worked example: support triage into a queue.** Trigger on a new email to support@. The agent classifies it (bug, billing, feature request, other), looks up the customer in a Google Sheet knowledge source, drafts a reply in your tone, and posts the draft plus classification to a Slack channel. A human replies to the customer from the draft. Once the drafts are boringly good, add a second agent that sends replies for the "billing: where is my invoice" class only, and keep everything else gated. The Zapier best-practice docs favor small, narrowly-scoped agents over one agent that does everything; that matches the gating strategy.

## Lindy: a teammate in Slack

[Lindy](/tools/lindy) has become the option for founders whose company runs in Slack. Its docs describe a shared AI teammate that lives in your workspace, with **Routines**: saved instructions with a trigger (a daily, weekly, or monthly schedule, or an event such as an email, a Slack message, a calendar event, or a finished meeting), a plain-language prompt, and a destination such as a Slack channel or thread. Two safety features stand out in the documentation: write actions wait for your approval, and a **dry run** fires a routine end to end on real data and shows what it would have done without doing it.

**Worked example: the daily brief and the meeting prep.** Set a personal routine for 8am: summarize overnight email and today's calendar, flag anything from investors or customers, deliver to your Slack DM. Set a workspace routine triggered by calendar events: thirty minutes before an external meeting, pull the last thread with that company, the CRM notes, and open tasks into the meeting's Slack thread. Dry-run both for a week. Neither routine writes anywhere, so there is nothing to approve; when you later add "draft the follow-up email after the meeting", that write action is where the approval lands.

## Choosing, and starting small

If you are still unsure, ask two questions: where does the input live, and what is the single irreversible action? Files in, document out: Cowork. A chain of app steps with branching: n8n. An event in one SaaS tool, an action in another: Zapier Agents. A team in Slack that needs a standing routine: Lindy.

Then start with one process, not six. The right first automation is the one you do weekly, hate, and can check in two minutes.
