Compliance Matrix
An RFP compliance matrix maps each buyer requirement to its source, response location, evidence, owner, and reviewed status throughout a proposal.
An RFP compliance matrix maps buyer requirements and their source locators to proposal responses, owners, and reviewed status. It preserves traceability throughout response preparation. Loopio matrix guidance.
A response record is not a compliance verdict
A generic project checklist might say “security section done.” A matrix instead identifies what the buyer asked, where that wording appears, which evidence supports the answer, and where the final response can be found. That row lets the owner inspect the relationship rather than accept a completion label.
Illustrative fictional fixture: an RFP requires an attached incident procedure. The draft contains a paragraph describing secure service but no procedure file. A response is present; the attachment requirement remains unmet. Keep the gap in the row instead of marking it ready because the prose sounds relevant.
A useful matrix retains amendment references, evidence versions, accountable owners, unresolved interpretations, and the final submission locator. Complete rows cannot validate the buyer's meaning or reveal requirements omitted from the declared set. Source review and owner judgment remain necessary.
Review the exported proposal as well as the draft. A correct working-file locator can become stale when sections move or attachments are omitted from the final packet. Record that final location in the reviewed row.
Build and check the record
The AI RFP matrix workflow reviews extraction before computing row coverage. Loopio is one drafting and library option to evaluate with the approved packet.
For supplied local files, rfp-requirement-mapper drafts the requirement map. The RFP completeness reviewer inspects missing requirements and evidence, while check-rfp-coverage checks the declared CSV representation. The owner then verifies that the final response and attachments actually satisfy the requirement before approving that row.
